What’s new about the campus calendar?

The campus calendar, formerly powered by EMS and Master Calendar, is now powered by EMS and Localist. The change was made to create a one-stop-shop where all Agnes Scott College events can be viewed by the campus and the greater community as well as links to requesting your desired space. This calendar serves as the central, comprehensive source of accurate information about all events happening on campus. All events listed in the calendar are considered to be free and open to the public unless otherwise noted. The campus calendar has the following features and capabilities:

  • Event submission
  • Event registration
  • Highlight high priority campus events
  • Follow events, topics and departments based on interest
  • Share events via social media
  • Save events to iCal, Google Calendar or Outlook

What are the guidelines for event submission?

The Agnes Scott College Campus Calendar is only for events organized, hosted, sponsored, or cosponsored by Agnes Scott College departments and centers, alumnae relations and officially sanctioned student organizations. Events may be open to the general public or private events for Agnes Scott College faculty, staff, students, and/or alumnae. They may also be hosted on or off campus. Agnes Scott College will not accept event submissions from individuals or organizations outside of the college. Such requests should be submitted directly to the Office of Special Events and Community Relations at specialevents@agnesscott.edu. Agnes Scott College reserves the right to approve, reject, edit, or make special consideration for any events submitted to the calendar. Submissions that don’t have a complete description or violate the college's honor code will not be accepted. The college also reserves the right to remove unacceptable comments or photos uploaded to event pages. Unacceptable comments include but are not limited to: Profane or obscene language or content; content that promotes, fosters, or perpetuates discrimination on the basis of race, color, national origin, creed, religion, age, disability, sex, pregnancy, gender identity or expression, sexual orientation, genetic information, veteran status or any characteristic protected by law in its educational programs and activities, admission, or employment.


How do I log in?

If you are logging into the campus calendar for the first time as an Agnes Scott College user, you should be logging in using your Agnes Scott login. If you have already logged into your account in another window, the campus calendar will recognize that you have already logged into your account and will not prompt you to enter your account login information again. You may use social accounts to login to your account in the future, but for your first time logging into the calendar, please make sure to use your Agnes Scott login. If you do choose to use social accounts to login in the future, please make sure to review the next section regarding account settings before doing so. There are some additional settings you will have to configure on your account to be able to use these login options.


How do I personalize my account?

Once you have logged into the calendar for the first time, hover over your account profile icon beside the search bar and select "Settings." Under "Settings", you will be able to add a photo to your account, and additional (optional) information including your birthday, zip code, and gender.


How has the process to request event space changed?

The process to request event space has not changed; it is however easier to find as it is now located on the campus calendar landing page. Look for “Making a request using EMS” under the Calendar Submission Process.


How can faculty and staff submit an event?

All academic and administrative offices are required to schedule meetings and events using EMS.Click here to be directed to our EMS system to make an event request. Faculty and staff can find the step by step process of how to submit event requests here.

Can I add a photo to my event?

Photos are welcome and when submitted the requestor must include the original source as well as permission to use. Without permission, the photo cannot be used. Photos owned or commissioned by the college are allowed. Here you can find more information copyrighted images.

Image Sizing

  • Featured Event photos: 300 x 300 px
  • Event listing photos: 200 x 200 px
  • Event page photos: 200 x 200 px

Images that are rectangular translate better on the Localist platform.


Images help Promote your event!

The image you select represents your event and should capture the experience your attendees have to look forward to. When choosing a photo, select a high resolution photo that's unique, inspiring, and will catch the interest of your event attendees. Organization logos, past event photos and graphics are examples of eye-catching event images. All event images uploaded must be within copyright compliance, please see the image copyright guidelines for more information.

Tip: Do not add event description information to your image. Flyer like images are difficult to see and are not accessible.


How do I connect my account to social media?

To the left side of an event, you will see icons for Facebook, Tumblr and Twitter. To use one of your social media accounts to login or invite friends to events on campus, please connect your social media accounts in this section. Once you have done so, you will be able to use both your Agnes Scott login or social media accounts that you have connected in this section to login to your account.


How can I subscribe to events by location?

If you are only interested in following events that are happening in certain locations on campus, you can follow the steps below to follow “Places To Go”.

  1. Go to calendar.agnesscott.edu
  2. Login to your account.
  3. Select "Places To Go" from the right-hand column under the “Calendar Submission Process” section.
  4. Find the location you would like to follow, click on it, and select the starred follow button.

How can I subscribe to events by departments?

If you are only interested in following events that are being hosted by certain departments on campus, you can follow the steps below to follow “Departments”.

  1. Go to calendar.agnesscott.edu
  2. Login to your account.
  3. Select "Departments" from the right-hand column under the “Calendar Submission Process” section.
  4. Find the department you would like to follow, click on it, and select the starred follow button.

How can I subscribe to events by student organizations or clubs?

ou are only interested in following events that are being hosted by certain student organizations or clubs, you can follow the steps below to follow “Groups”.

  1. Go to calendar.agnesscott.edu
  2. Login to your account.
  3. Select "Groups" from the right-hand column under the “Calendar Submission Process” section.
  4. Find the group you would like to follow, click on it, and select the starred follow button.

How can I subscribe to all events?

If you would like to subscribe to all events that are posted to the Campus Calendar, follow the steps below:

  1. Go to calendar.agnesscott.edu
  2. Login to your account.
  3. Select "All Events" from the right-hand column under the “Calendar Submission Process” section.
  4. Select your favored subscription method from the "Add to Calendar" (Google Calendar, iCal, Outlook) section.

How can I filter the events to find one for me?

By using filtering, you can subscribe to the events that are most important to you! For example, if you are a current undergraduate student that is only interested in sports and recreation events you would follow the steps below to subscribe to only those events.

  1. Go to calendar.agnesscott.edu
  2. Login to your account.
  3. Scroll down the page until you see “Sports & Recreation” under “Event Types” on the right side of the page, and then select it.
  4. Then scroll down and select “Undergraduate Students” under “Audience” on the right side.
  5. Now select your favored subscription method from the top of the page by selecting one of the icons (Google Calendar, iCal, Outlook, or RSS).

How does the "I'm interested" feature work?

  1. Once you select "I’m Interested" on an event, the event is added to My Calendar in the your dashboard (your personal Localist calendar). If it is a repeating event, you will be prompted to select all dates or specific instances.
  2. Once I’m Interested is selected, a “You’re interested” message will appear in place of the "I’m Interested" button. To remove the event, you only need to select change dates (recurring event) or not interested (non-recurring event).
  3. Then you will be added to the “People Interested” box and will be listed on the event detail page in admin.
  4. You will receive two emails:
    • Reminder: The day before the event, users who selected "I’m Interested" will automatically receive an email reminder to attend the event.
    • Review: The day after the event, users who selected "I’m Interested" will automatically receive an email prompting them to review the event.

Those who mark themselves as “I’m Interested” will be notified when someone comments on the event, but the user cannot reply directly to the commenter via email. The only way to respond is by leaving a public comment on the event details page. When the event becomes a past event, a review button will also be included, as well as any submitted reviews.


How can I invite friends to view the event I'm interested in?

By default, every event details page includes an "Invite Friends" button. When clicked, a box will appear and prompt you to “mention this event to friends” on the campus calendar OR enter specific email addresses. If the email receiving the invitation is associated an account on the campus calendar, the individual will be prompted to sign in and the invitation will be available via the notification next to their account, which will take them to their "My Calendar" page. If the email receiving the invitation is not associated with an account on the campus calendar, the link in the email will take the individual to the event’s details page.

Notifications: To adjust the notifications you will receive and how you will receive them, go into "Settings" and simply select "Notifications" from the top of the page.

Privacy: To adjust who can see your activity on Localist, please select "Privacy" under the search bar from "Settings". Please keep in mind that it is helpful for event organizers to see attendees on events to gauge interest and engagement and for students to see friends that are attending campus events.

Event Descriptions

Event descriptions are vital to maximize the attendance of people who will enjoy your event. Keep your event descriptions clear and detailed but succinct. Each event includes time and location information so it is not necessary to reiterate that information, instead focus on the “why”. Write descriptions that tell attendees the most important information, who will be speaking if applicable and why they won’t want to miss it. Please visit the Agnes Scott College short style guide for guidelines on the college’s style.

Tip: Do not add event description information to your image. Flyer like images are difficult to see and are not accessible.

Calendar Access Guidelines

Unlisted: Events that are unlisted are events that have been submitted and processed in the EMS system but are not on the campus calendar. Events that are private like department meetings, private dinners and classes should be listed as unlisted.

Restricted: Events that are listed as restricted can only be viewed by Localist users that are signed in with their Agnes Scott user ID. If you have an Agnes Scott user ID sign-in here. Events open ONLYto the Agnes Scott campus community should be listed as restricted events.

Public: Events that are public are events that are accessible without signing-in to the Localist platform and to users without an Agnes Scott user ID. Events that are open to the greater-Atlanta community should be listed as public events.
